This Privacy Policy describes, in general terms, Kartex Makina’s (“we” or “us”) approach to visitor privacy on the kartexm.com website, the information processed on the website, and the measures taken to protect it.

Detailed information on the purposes and legal grounds for processing your personal data, the recipients, the retention periods and your rights is provided in our Privacy Notice, and information on cookies in our Cookie Policy. The data controller’s trade name and contact details are also set out in the Privacy Notice. If there is any inconsistency between this policy and the Privacy Notice, the Privacy Notice prevails.

Our approach

  • Only what is needed: We process only the information needed to respond to your request and keep our website secure. Some of the form fields are optional.
  • No tracking: We do not track visitors or collect data for analytics, advertising or profiling.
  • No selling or marketing-driven sharing: We do not sell or rent your personal data, and we do not share it with anyone other than the recipient groups listed in the Privacy Notice.
  • Transparency: We explain our data processing activities clearly and plainly on this page and in the related documents.

Information we process

Contact/quote form

The only place on our website that asks you for personal data is the contact/quote form. The form includes:

  • Required fields: Full name, email address, phone number, message, and the checkbox confirming that you have read the Privacy Notice.
  • Optional fields: Company, city or country, solution of interest and industry.
  • Request type: Quote, service, spare parts or other.

When the form is submitted, the date and time of submission and the IP address are also recorded for security purposes. Form records are kept in our website’s admin panel (database) and may be forwarded to our business email address as a notification.

Direct contact

If you contact us directly through the email, phone or WhatsApp links on our website, we use the information you share only to respond to your request.

Technical information

When you access our website, your IP address and certain technical information sent by your browser (access time, page accessed, browser and device type) reach the server as a technical necessity of internet communication. This information may appear for a limited period in server logs kept on our hosting infrastructure for security and operational purposes. We do not use these logs to identify, track or profile visitors.

Tools we do not use

Our website does not use:

  • Google Analytics or similar visitor analytics tools,
  • Advertising, retargeting (remarketing) or tracking pixels,
  • Social media plugins,
  • Embedded third-party content such as maps or videos,
  • External font services such as Google Fonts; fonts are loaded from our own server.

No cookies are placed on your browser on the visitor-facing pages of our website. Cookies that are strictly necessary to manage the website are used only for admin panel users; see the Cookie Policy for details.

How we use information

  • To evaluate your request and get back to you,
  • To keep our website and the form secure and prevent misuse,
  • To fulfill our legal obligations and protect our rights,
  • To respond to your applications concerning your personal data.

We do not use your information to make decisions about you solely through automated systems or to build profiles. See the Privacy Notice for details on purposes and legal grounds.

Sharing and storage abroad

Our website is hosted on Hostinger infrastructure and our business email on Google Workspace infrastructure, on servers located outside Türkiye. These service providers process data only in order to provide their services. Transfers abroad are carried out in accordance with Article 9 of Law No. 6698 on the Protection of Personal Data (the “Law”).

Otherwise, your information may be shared only with the recipient groups listed in the Privacy Notice and only for the purposes stated there.

Security measures

Under Article 12 of the Law, we take technical and administrative measures to ensure an appropriate level of security, in order to prevent unlawful processing of and unlawful access to personal data and to ensure its safekeeping. These include the following:

  • Our website is served over an encrypted HTTPS connection; information you submit through the form is transmitted in encrypted form between your browser and the server.
  • Form records can be accessed only through the password-protected admin panel and only by authorized persons.
  • The form is protected by technical controls against unsolicited and automated submissions.
  • Our website contains no analytics, advertising or social media code that passes visitor data to third parties.
  • The website software and its components are kept up to date.
  • Contracts containing data security and confidentiality obligations are concluded with service providers.
  • Access to data is limited to persons who need it for their work.

No method of transmission over the internet or of electronic storage can be guaranteed to be completely secure. We therefore ask you not to share, through the form or by email, information that is not needed for your request, especially special categories of personal data.

If processed personal data is obtained by others through unlawful means, we will notify the data subjects concerned and the Personal Data Protection Board as soon as possible, in accordance with Article 12 of the Law.

Children’s privacy

Our website is intended for business and corporate customers and is not directed at persons under 18. If you are under 18, please do not use the form. If we become aware that a person under 18 has sent us personal data, we will delete it, subject to our legal obligations.

Third-party links and services

  • WhatsApp: When you click the WhatsApp link on our website, the WhatsApp app or WhatsApp’s web page opens. From that point on, WhatsApp processes your data under its own terms of service and privacy policy. WhatsApp is an independent third-party service based outside Türkiye; Kartex Makina has no control over its data processing activities. Our website does not send any data to WhatsApp unless you click the link.
  • Phone and email links: These links only open the phone or email app on your device when you click them. Your communication then takes place through your phone carrier or email service.
  • Other websites: If our website links to other websites, the operators of those websites are responsible for their content and privacy practices. We recommend reviewing their privacy policies.

Your rights

You can find your rights under Article 11 of the Law and how to apply in the Privacy Notice. You can use the Data Subject Application Form for your application.

Changes

This policy may be updated in line with changes in our practices or in legislation. Before any significant change, such as adding an analytics tool or a service that uses cookies to our website, this policy and the related documents will be updated. The current version is always published on this page; the date of the most recent update appears at the top of the page.
